When a line-of-business system gains AI, the requirements need to keep up

When existing line-of-business systems gain AI features, new questions arise about documentation, operation and responsibility. What information should the municipality be able to obtain before a feature is used – and when it changes?

From the last Alliance meeting on

An output has a technical history.

The model, version, system instructions and data sources can provide important clues when examining an AI output. This raises concrete questions for the supplier: What information does the system use? What actions does it perform? What can be documented afterwards?

The system inventory is only the beginning.

A useful overview also covers the AI features that are actually enabled, their purposes and who is responsible for them. Features bought or enabled locally should also be included.

Changes need attention.

New models and features raise the question of when an earlier assessment should be revisited. The operating model also affects the skills and tasks the municipality needs to handle itself.

Three questions to work on

  • What should the supplier be able to document?
  • What technical and organisational responsibility does the municipality take on itself?
  • Which changes should trigger a new assessment?
